Meet NOVAI: The Assistant Inside PDental That Knows Today's Schedule

Between patients, a clinic asks the same questions all day — who has arrived, when is she next due, are we low on composite — and every answer is on a different screen. NOVAI is the assistant inside PDental that answers them in a sentence, books and confirms once you approve, and explains how to use the app. What it does, what it will not, and what to try first.

Meet NOVAI: The Assistant Inside PDental That Knows Today's Schedule

The phone rings at 10:40. Is Mrs Adel's appointment still on for eleven, and has she confirmed? Reception opens the day view, finds the slot, reads the status. A minute. The doctor steps out between patients: when is Omar next due in, and did anyone note what he said about the crown last time? The patient file, the appointments tab, the notes tab. Two minutes. The assistant needs to know whether there is enough composite for the afternoon before the first restoration starts — the stock screen, or a look in the drawer. Another minute.

None of these questions is hard, and none of the answers is missing. Every one of them is in PDental, on a screen that exists for it. The cost is not the answer. It is the retrieval — knowing which screen, opening it, reading it — thirty times a day, between patients, by people whose attention is meant to be on the person in the chair.

That is the problem an assistant inside the software is for. Not to know things the system does not know, but to answer the questions the system already can, in the time it takes to ask them.

One place to ask, in words

NOVAI is the assistant built into PDental. It sits in a panel beside every screen, and you talk to it the way you would talk to a colleague who happened to have every tab open: who is in the waiting room? when is Mariam next in? what does this patient still owe?

What makes it useful — as opposed to a chat window that sounds confident — is where the answers come from. When a question depends on data, NOVAI looks it up in PDental, through the same records the screens read, and tells you what it checked. It never answers a date, a balance or an appointment status from memory. If it cannot look something up, it says so in a sentence rather than filling the gap.

The result is that the retrieval cost goes to almost nothing, and the question gets asked by whoever has it rather than passed to whoever knows the screen.

Four kinds of question

Most of what a clinic asks during a day falls into four groups, and NOVAI handles each differently.

Ask: live answers from your records

Who is coming in today, and who has arrived? What is Dr Nour's afternoon like? Find Mariam Adel — is she insured, and by whom? What did we note last time Omar was here? Anything outstanding for this patient — a recall, a lab case? Are we running low on anything? What did we take this month?

These are reads. NOVAI calls the relevant part of PDental — today's appointments, a patient's record and notes, tasks, stock, attendance, a report — and answers from what came back. The panel shows which records it checked, so an answer is never a black box.

It also knows what is on your screen. Open a patient and ask when are they next in? or anything outstanding? — without naming them.

Do: front-desk updates, after you approve them

Book Omar a follow-up next Tuesday at 10 with Dr Hossam. Mark Sara as arrived. Remind me to call about the lab case on Thursday. Note that she prefers morning appointments.

These change records, so they are handled differently. NOVAI turns the sentence into the exact change — which patient, which slot, which doctor and room — and shows it to you as a card before anything is sent. Approve it and it is done, recorded against your name like any change you make on a screen. Cancel and nothing has happened. There is no setting that skips the card.

The set of things it can do this way is deliberately the front-desk set: book an appointment, move one along its statuses — Confirmed, Arrived, Completed, Cancelled, Missed — create a task and assign it, move a task on with a comment, add a note to a patient's file. Not charting, not billing, not treatment plans, not deletions. Those stay on the screens built for them.

Consult: a clinical question, answered like a colleague

Which cement for a zirconia crown? Amoxicillin dose for a 25-kilogram child? What changes for a patient on anticoagulants?

The people using PDental are dentists, hygienists, assistants and clinic managers, so NOVAI is set to answer their field, not only their software — in the two or three sentences a colleague would give, with the reasoning in a line, and with what to check before acting when the answer is a dose or a contraindication. It says plainly when something is unsettled or when it is not sure. And it never blurs knowledge with records: anything about one of your patients comes from their file, not from what the model knows.

Learn: how to use PDental, from PDental's own guides

How do I add an insurance approval? Where do I set up a recall reminder? How do I send a lab order?

An assistant with no help text answers these fluently from what similar products usually do, and names menus that are not there. NOVAI answers from PDental's own help, in English and Arabic, and the buttons and fields it names are the ones on your screen. If a guide does not cover the question, it says so rather than describing something plausible.

What it will not do

Being clear about this is part of what makes it trustworthy.

  • It will not guess about your records. Anything about a patient, an appointment, a balance or a date is looked up. If the lookup fails, you are told, not approximated.
  • It will not see more than you can. NOVAI signs in as whoever is asking, in their current branch. Ask about another branch and it says it can only see yours.
  • It will not change anything without the card. Every write waits for your approval, every time.
  • It will not make the clinical decision. It answers the question the way a colleague would; diagnosis, consent and the treatment plan stay with the clinician.
  • It will not wander. Ask it to draft a marketing email or settle an argument about football and it declines in a sentence and offers something it can do instead.
  • It can be wrong, and says so. Every answer carries the same line the app shows: check anything you are about to act on.

Where it lives

In the panel beside every screen in PDental. In Arabic and English — ask in either, and the answer comes in the language you used, including the how-to steps and the labels they name. You can type or dictate, have an answer read back, and attach a photo and ask what it is.

Chats are kept for 30 days so you can reopen an earlier one. Across chats, NOVAI keeps a few notes about how you work — the names you use for things, what you usually ask about — so you do not repeat yourself. They are listed in the panel, you can delete any of them, and they expire on their own.

What to try on the first day

Five prompts that show what it is for, in the order a clinic tends to discover them:

  1. How is today looking? — the day in a sentence, before the first patient.
  2. Open any patient and ask when are they next in? — it already knows who.
  3. Anything new for me? — your notifications, without the bell.
  4. Mark a patient as arrived — and read the card before you approve it.
  5. Which cement for a zirconia crown? — and notice the answer is a colleague's, not a textbook's.

After a week the pattern is usually the same: the questions that used to be passed to whoever knew the screen get asked by whoever had them, between patients, in the time it takes to say them. That is the whole point — not a cleverer system, but a shorter distance between a question and the record that answers it.

Frequently asked questions

What is NOVAI?

NOVAI is the assistant built into PDental. You ask it in a sentence — in English or Arabic — and it answers from your clinic's own live records, makes front-desk updates such as booking a follow-up or marking a patient as arrived once you have approved them, explains how to do things in PDental from PDental's own guides, and answers clinical questions the way a colleague would.

Does NOVAI need to be trained on our clinic?

No. It reads the same records the screens read, through the same permissions, so it knows your appointments, patients, tasks and stock the moment your clinic is in PDental. The only thing it learns over time is a few notes about how you personally like to ask — and you can see and delete those.

Can it see every patient in the clinic?

It can see exactly what you can see, in the branch you are signed in to. NOVAI signs in as whoever is asking, so a receptionist's NOVAI sees the diary and the doctor's sees the chart, and neither can be asked for more than their own role allows.

Is NOVAI included with PDental?

NOVAI is enabled per clinic with a monthly usage allowance. The panel shows how much of the month's allowance the clinic has used and warns you before it runs out. Ask on the demo call about the allowance that fits your clinic.
